Privacy Policy

Sound Mind OS is made by The Peace Well LLC, doing business as Sound Mind Executive Coaching (“we”). This policy explains what we collect, why, and the choices you have. The short version: we use your information to run the app for you, we don't sell it, and you can delete it any time.

What we collect

• Account details: your email address, name, and time zone. If you sign in with Google, we receive your name, email, and profile picture from Google.
• What you put in the app: your systems and check-offs, to-dos, goals, weekly reviews, personality results, and conversations with the advisor.
• Coaching information: if you work with a coach in the app, the sessions, notes, recaps, homework, and plans you and your coach create.
• People you invite: if you add an accountability partner or invite someone, we store the email address you give us so we can contact them for you.
• Basic technical information: our hosting provider keeps standard server logs (such as IP address and browser type) to keep the service secure and working.

We don't use advertising trackers or third-party analytics, and we don't sell or rent your information.

How we use it

• To run the app: show your day, keep your streaks, send your sign-in codes, and send reminders and notices you've asked for.
• To power the AI features you choose to use, such as Plan my day, the system builder, and the advisor.
• To share what you've chosen to share with your coach or accountability partners.
• To keep the service safe, fix problems, and respond when you contact us.

Who can see your information

• Your coach (if you connect one) can see your systems, goals, and progress, except anything you mark private. Your coach's private session notes are visible only to your coach.
• Accountability partners can see the progress you share with them, except anything you mark private.
• Service providers who help us run the app, only to provide their service to us:
  • Vercel (hosting) and Neon (database), which store and serve the app's data in the United States.
  • Resend, which sends our emails.
  • Anthropic, which provides the AI. When you use an AI feature, the relevant parts of your information are sent to Anthropic to produce the response. Under Anthropic's commercial terms, this data isn't used to train their models.
  • Google, if you choose to sign in with Google.
  • Our payment processor, when paid plans launch. We never see or store your full card number.
• We may disclose information if required by law, or to protect the safety of our users or the public.

On your phone

The iPhone app can send reminder notifications if you allow it. They're scheduled on your phone. The home-screen widget shows today's systems using a summary stored on your phone. You can turn off notifications in your phone's settings at any time.

Keeping and deleting your information

We keep your information while you have an account. You can delete your account at any time in the app (You → Delete account). That permanently deletes your account and the information in it, including any coaching records connected to you. Backups held by our providers are cleared on their normal schedule.

Your choices and rights

You can see and edit your information in the app, mark items private, disconnect from a coach or partner, and delete your account. Depending on where you live, you may have additional rights, such as asking for a copy of your information. Email us and we'll help.

Security

We use encrypted connections, sign-in codes instead of passwords, and access controls so your information is visible only to you and the people you choose. No system is perfectly secure, but we work to protect your information.

Children

Sound Mind OS isn't meant for children under 13, and we don't knowingly collect their information.

Changes

If we make meaningful changes to this policy, we'll update the date above and let you know in the app or by email.
